Your Routine for Every Potential Client
A repeatable checklist for every potential client, however they reached you, from the first reply to posting the event.
Use this routine every time a potential client reaches out, however they got to you: from your profile, through an event FindBartenders sent you, or directly by phone or your own website. Over time it becomes habit, so every potential client gets the same professional handling, and every booked event feeds the next one.
- Read everything the client already told you
- Check the client's host profile if they have one
- Send a prompt, personal first reply with your FindBartenders link
- Ask only for the details you're missing
- Reply even if you'll decline: every potential client deserves a response
- FindBartenders sent you the event and you can't take it? Decline it in Manage Leads so it can go to another bartender
- Can't take it? Think about which bartender you could refer it to
- Confirm event type, date, location, guests, hours, alcohol, setup, and menu
- Check it fits your services, area, availability, and minimums
- If it doesn't fit, decline clearly and kindly
Understand the Event Before You Quote · Say No to the Wrong Job
- Estimate supplies and batched drinks if you provide them
- Build the quote with your member tools
- Explain what's included and what isn't
- Share proof that matches their event
Packages and Experiences · Quote the Event · Show Your Past Work
- Confirm they received your quote
- Follow up with something useful, not pressure
- Record each step in your notes
- Close the loop if you don't hear back
- Thank the client and ask for a review
- Post the Event Album, with Event City & State and titled photos
- Add any video, and write it up if there's a story
- Note what you learned for next time
- Back to getting found, with more proof than last time
The routine at a glance
| Stage | Key question | Done when |
|---|---|---|
| Respond | Have I replied professionally? | The client has a clear next step |
| Qualify | Is this a fit? | You've confirmed the details, or declined kindly |
| Quote | Is my price based on real details? | The client has a clear quote and relevant proof |
| Follow up | Am I adding value, not pressure? | They've decided, or you've closed the loop |
| Post the work | Have I posted the album and asked for a review? | Review requested, album posted, notes saved |
Every client and market is different. These are the habits professional bartending businesses use to turn interest into booked work, and booked work into more proof.
